Scanned document format. Everyone who comes across this can use a scanner, but not everyone can configure it, although there is nothing complicated about it. Any scanner comes with instructions, or you can download them from the Internet. But more often people are simply too lazy to delve into such details. But if the scanner is in your home, you still have to get into it.

The other day, our employee from the HR department came to see me and said, almost in tears: “I took scanned documents to the Pension Fund, but they weren’t accepted from me. Why? I still don't understand. They require that documents be not in .bmp format, but in .jpeg format.” For her, of course, it was an empty phrase, but everything immediately became clear to me.

In order for the scanned document to be in .jpeg format, you must configure the scanner when scanning the document. Different scanners have different settings, so it’s simply impossible to describe them all. But in any case, these settings must be present.

The simplest output document format settings window usually looks something like this.

If you do not find this function in the settings, you can set the required format when saving the scanned document.

If you see a window asking you to save the scanned file, then in the line File type you need to select a format JPEG.

As a result, you will get a file with the following extension (.jpg):

But this is provided that you have disabled the “Auto-save” function of the scanned document.

If you no longer have the opportunity to rescan documents, but have ready-made files in a different format, then you need to use a special program - converter for graphic files (since any scanned document is graphic).

You need to scan photos correctly right away, as this may no longer be possible. Scanning errors can be costly, especially when dealing with hundreds or thousands of photos. We will talk further about how to scan photos correctly.

You can scan photos yourself, or you can entrust it to a specialist at the nearest darkroom, but in any case, you need to understand how and for what purposes you will scan your photos. This is done differently for different purposes. Choosing the purpose of scanning photos is the first step from which scanning begins.

Purposes of Photo Scanning

The purposes for scanning photos may vary. Depending on how the photographs will be used after scanning, the scanning settings depend - resolution, color depth, photo storage format. Proper scanning of photographs is always a search for a compromise between the settings, which determine the quality and size of the future digital photograph.

These are the 10 main purposes of scanning photographs, from which it is clear that in each such case, photographs need to be scanned differently. For example, in cases 1,2,5,10, photographs should have maximum quality. In cases 3,4,6,7 the quality should be strictly limited, and in cases 8,9 the file size should be minimal.

In addition to these 10 goals, of course, there are others, but these are very common and they clearly show how much the files and sizes of digital photos can differ after they are scanned. Of course, all photos can be scanned with maximum quality, but then their size will be very large, which will require additional resources.

When scanning photographs, the expression “The end determines the means” is relevant. The time spent on additional operations and the money spent on storing unnecessary amounts of information will depend on how correctly the goal is set. Choosing a scanning target is the key to ensuring that you scan your photos correctly.

Once the purpose for which you need to scan photos has been selected, these photos need to be prepared for scanning. This is the second important step in scanning photos, which will help you significantly reduce the overall time of scanning a large number of photos and make the scanning process itself less tedious.

Preparing photos for scanning

If you need to scan one or more photographs, you do not need any special preparation for this. But if the task is to digitize a large photo archive, then you cannot do without sorting photos. The more photographs you need to scan, the more carefully they need to be prepared for this (Fig. 2).

Before scanning a large number of photos, you should first collect them into a separate stack. After that, they are divided into groups, which are characterized by the same settings. This could be size, orientation, resolution, color depth, or something else. It is more convenient to rearrange the scanner for a group of photographs, rather than for each of them.

The process of scanning a large number of photographs is somewhat reminiscent of the work of a conveyor belt. We take a photo from the stack, load it into the scanner, press the button, scan, remove the photo, and repeat this with all the photos. The less you are distracted from these actions, the faster you will finish scanning your photos.

In order to maximize the overall speed of scanning photos, you can scan several of them at once. To do this, you need to place more than one photo in the scanner, but, for example, three or four at once. The only problem is that later they will have to be cut out from the general file.

If scanning photos is performed on “autopilot”, you can simultaneously watch videos, listen to music or do something else that does not interfere with this. In order to scan photos continuously, you need to complete the third stage - set up the scanner correctly, taking into account the recommendations mentioned above.

Setting up your scanner for scanning

For scanning photos, it is best to have a flatbed marked “Photo”. This scanner has a special driver program for working with photographs. It is more convenient to scan photographs directly from this program (Fig. 3), but it is also possible in other programs such as Adobe Photoshop or XnView.

Regardless of the brand of scanner, the most important parameter that needs to be chosen correctly is the resolution of the future photograph. It must be chosen for one purpose, as mentioned above. The higher the resolution, the better the image, but the file size of the photo will be larger. It is important to choose the optimal resolution.

The optimal resolution for scanning photographs for printing on paper is considered to be 300 pixels per inch. This is provided that printing is carried out at a scale of 1:1. If the photo is enlarged twice during printing, then the scanning resolution must be doubled.

Printing photographs on paper is a kind of guideline. This is the maximum quality required to view photos. To view other types of photographs, you do not need such quality as, for example, to view them from a monitor or TV screen.

If we talk about the format in which photo files should be saved when scanning, then there are two main graphic formats for this and . The rule for their use is very simple. To preserve maximum image quality - TIF, in other cases - JPEG.

Creating electronic copies of images or documents requires the use of a scanning operation. Equipment and software for this purpose constitute a separate branch of computer technology. By combining printers and scanners, a new class of digital devices was created - multifunctional devices (MFPs). To create a high-quality copy of a photograph and decipher the document received during the scanner operation, you need a scanning program that works with different types of devices and creates the final file in any format required by the user.

What is a scanning program

The software required to work with the scanner should make it easier for the user to work with different types of source materials, support work with all major brands of scanners, MFPs, and provide the choice of the desired format, quality, and size of the final file. Some of these properties are found in standard Windows operating system tools. There are third-party programs that can convert scanned material into graphics or PDF format. Of all the utilities, text recognition programs are the most valuable.

Standard Windows tools

The Windows operating system has built-in functions for working with scanning devices. It contains standard drivers for most of these devices from different manufacturers. The choice of your model is made when accessing the scanning utilities. You can check its presence by opening “Device Manager”, section “Image processing devices”. If your device is not in the list of available devices, its driver must be downloaded from the Internet and installed. To switch to scanning mode you must:

  • Click Start->Control Panel->Scanners and Cameras;
  • click on the icon of your device or the corresponding driver name;

  • if you need fine-tuning, you can click “Adjust” to select brightness, contrast, image resolution;
  • select the image type and click View to preview the result;
  • after clicking “Next” in the new window, select the name of the final file and its location;
  • The next click on the “Next” button will start the scanning process.

Starting with Windows 7, the standard functionality of the scanning device program has been improved and combined with fax printing. To start the work, you must select “Device Manager” -> “Image Processing Devices” -> “Faxes and Scan” -> “New Scan”. Further steps for setting up, previewing, running the process and saving the results are similar to those indicated above.

Programs for scanning documents into a simple graphic file

Specialized scanning programs aim not only to obtain high-quality copies of originals, but also to make it easier for users of varying levels of understanding with computers to work with them. To get a simple copy in the form of a graphic file, you need to:

  • download, install and run the program;
  • select the model of your MFP, insert the original image into it;
  • click the “Scan” button;
  • The program will prompt you in dialog mode to select the type of graphic file, save location, and options for further actions with the result obtained.

Program for scanning to pdf and digitizing documents

Existing programs are capable of not only scanning an image, but also performing all the necessary actions to process it. At the same time, it is possible to manually configure fast automatic feeding of a large number of pages and save them in PDF format. How does the scanner program work?

The principle of operation of the scanner is based on the difference in the light flux reflected by the scanned surface from a strong light source. The reflected signal through the prism hits the photosensitive element, which determines the image characteristics of this point. The higher the resolution, the better the quality of the copy. The scanner program receives a signal about each point of the scanned image, converts it into a digital code, and stores the data for each point in the computer’s memory.

Scanning Interfaces

To standardize image recognition processes for scanners, the TWAIN (English “two”) standard was proposed in 1992. It provides excellent coordination between the computer and scanner functions. Since 2000, a standard for their interaction with the Windows operating system was introduced, which was called WIA (Windows Image Acquisition). It differs from TWAIN in that it supports basic scanning and preview functions. Its advantage is that it supports all types of scanning devices and versions of Windows.

Professional industrial scanners use the ISIS (Image and Scanner Interface Specification) graphical interface, which includes additional effects. The Linux operating system uses a simplified dialogue with the ability to access the MFP over a network based on the SANE standard (Scanner Access Now). When working with a regular scanner or MFP, the TWAIN interface is more suitable; when working with a camera, it is more convenient to use the WIA standard.

Which application is better for scanning documents?

The choice of application for working with the scanner depends on your needs. Simple copying of documents and saving in PDF format or sending by mail can be done by any free scanning program. There are many free OCR systems based on Tesseract with text recognition. If you need to process a document with complex formatting while maintaining its structure, removing unnecessary shadows or errors, you will need a powerful FineReader level system.

ABBYY FineReader 10 Home Edition

The most famous, widespread and powerful program for scanning and text recognition is ABBYY FineReader 10 Home Edition. With its help the following tasks are solved:

  • supports automatic batch mode;
  • clear interpretation of texts;
  • recognizes any languages;
  • allows you to scan pictures, texts, low-quality photos.

The program for working with the OCR scanner CuneiForm has the following advantages:

  • The utility is free;
  • the text is corrected using dictionaries;
  • deciphers low-quality images;
  • preserves the structure and formatting of texts.
  • there are errors in the texts;
  • support 24 languages.

A special program for Windows, WinScan2PDF, has one drawback - the text is saved only in document format. Pros:

When scanning images, it is important to know the purpose of the image in advance. Do you plan to print this image, send it by email, or use it online? Knowing what you intend to do with the scanned image will help you choose the right image format. The most common image file formats are tif, gif, jpg, bmp and psd (Photoshop).

Scan to Print

If you are going to print your scanned image, save it in tif or bmp format. The quality of gif and jpg files in printed documents is worse compared to tif and bmp.

Scan for network

If you plan to use the scanned image online, save it as a gif or jpg. If it's a simple graphic, save it as a gif. If you scan photos, save them as jpg files.

Scan for various purposes

If you plan to both print the scanned image and use it online, save it in a high-quality format (psd, tif or bmp). If necessary, you can always open this file later and save it as a network image.

File formats

TIFF (extension: tif): Used for high-resolution images intended for printing.

GIF (extension: gif): Used for low-resolution network images, line art.
