The choice of diagram type depends on the tasks that the diagram is intended to solve. It should be quite simple and clear. The best tool for creating charts is the Microsoft Office Excel spreadsheet. This program offers various standard types of diagrams, each of which has its own subtypes.

At first glance, it seems that application, as well as props " Marking the presence of the application“It’s simply impossible to format it incorrectly. There is GOST R 6.30-2003 “Unified documentation systems. Unified system of organizational and administrative documentation. Requirements for the preparation of documents" (hereinafter referred to as GOST R 6.30-2003), which sets out the rules for preparing the details of organizational and administrative documents. And if there are any questions related to application design, then the majority turns to the text of GOST R 6.30-2003.

This fragment of the document may indeed clarify some points related to application design. But, unfortunately, all questions cannot be answered there. For example, it remains unclear:

  1. Where exactly in the documents should the “Appendix Availability Mark” attribute be placed?
  2. Is it always necessary to write “Appendix” on the first sheet of the application in the upper right corner, indicating the document, its date and registration number?

The answers to these questions can be found, but in other documents. Let's try to do this together.

Where should I place the “Application Availability Mark” attribute?

As you know, Appendix A of GOST R 6.30-2003 contains layout diagrams for the details of organizational and administrative documents. If you look at them, you can come to the conclusion that 21 the “Mark of the presence of the application” attribute must be in the range of 60-40 mm from the border of the bottom field(See Figure 1). Actually it's not like that. The boundaries, which are marked with dotted lines in these diagrams, can be moved both up and down. Moreover, there are cases when registration of props « Marking the presence of the application"in the range of 60-40 mm from the border of the lower field can lead to disastrous consequences (see Example 1).


Imagine a situation where a letter of notification about an exhibition-conference is drawn up, consisting of two pages, and the text on the second page occupies no more than one-fourth of the total area of ​​the sheet. Accordingly, if props « Marking the presence of the application» placed in the interval of 60-40 mm from the border of the lower field, then there is a lot of free space between this prop and the text (see Figure above). It is in this free space that “cunning craftsmen”, both on the part of the organization that authored the document and on the part of the recipient organization, can, after training, add any text that will allow them to get their benefit. At the same time, the management of both organizations may not even know that any additions have been made to the text of the letter. Compare the two versions of the same letter shown on this spread.


So, to prevent anyone from adding any new text to an already signed document, It should be placed not closer to the border of the bottom margin, but after the text of the document. Moreover, the indentation should be 2-4 line spacing, the size of the indentation is fixed in the Methodological Recommendations for the implementation of GOST R 6.30-2003, which were published by the developer of GOST - the All-Russian Scientific Research Institute of Document Management and Archiving (VNIIDAD).

If you look again at the layout of the details of organizational and administrative documents (see Figure 1), you can note that detail 21 - “Mark of the presence of the application” and detail 22 - “Signature”located on the same level. However, the signature should be placed underrequisite “Mark of the presence of the application” at 2-4 intervals. This must be done so that no one can add another attachment to the document after signing the document.

Speaking of location “App availability mark” requisite, it is worth noting a number of other points. If you look at the fragment of GOST R 6.30-2003, published at the beginning of the article, you will see that GOST provides examples of design, where it is clearly visible that the props we are considering are located from the border of the left margin with an indent . However, there are no clear indications of this in the GOST text. But they are in the Methodological Recommendations for the implementation of GOST R 6.30-2003, and this is what is written there:

In which organizational and administrative documents can the “Stamp of the presence of an application” attribute be used?

The text of GOST R 6.30-2003 states that “App availability mark” requisite can be issued in letters (see paragraph 3.21 given at the beginning of the article). That is, if the letter contains any application, then this detail must be formalized without fail. Moreover, in cover letters, the main purpose of which is to send documents that do not have an address part, “App availability mark” requisite must always be completed (see Example 2).

Also props « Application availability mark", if necessary, may be present in the following forms information and reference documents: certificates, memos, explanatory notes, memos.

But there are types of organizational and administrative documents in which props « Marking the presence of the application» is not issued, because information about applications is indicated directly in the text. This is stated in the Methodological Recommendations for the implementation of GOST R 6.30-2003 and in the Standard Instructions for Office Work in Federal Executive Bodies. Such documents, for example, include a protocol.


Props « Marking the presence of the application» is not issued in administrative documents: orders, instructions, instructions, resolutions and decisions.


Typically, if an administrative document has reference or analytical annexes (graphs, diagrams, tables, lists), then in the text in the relevant paragraphs of the administrative part there are links: “(Appendix 1)”, “(Appendix 2)” or “according to the Appendix 1", "according to Appendix 2". If the appendix to the administrative document is an approved document (regulations, rules, instructions, etc.), the following mark is made in the corresponding paragraph of the administrative part: “(attached)” (see Example 3).

Is it always necessary to write “Appendix” on the first sheet of an application?

Is it always necessary to do on the first sheet of the application in the upper right corner inscription « Application» indicating the document, its date and registration number? At first glance it seems yes. But that's not true. Therefore, many people make mistakes when they put this label on all applications indiscriminately.

Let's consider cases when inscription "Application" indicating the document, its date and registration number should not be affixed.

Firstly, it is inappropriate when you are sending any an independent document that does not have an address part, together with a covering letter .

However, if it is not a covering letter that is sent, but, for example, a notification letter or an invitation letter, and the attachment includes additional materials that were specially prepared for this letter, then the above inscription must be placed on the attachment.


Secondly, you shouldn't do it inscription « Application» on a document approved by an administrative document. It is when designing such applications that mistakes are most often made. And look what happens: there are options when the necessary information is missing (Example 6) or when it is duplicated (Examples 7 and 8).


Possible options for incorrect registration are not limited to this. However, the rules for drawing up annexes to administrative documents are regulated using the example of decrees and orders of the President of the Russian Federation in the Standard Instructions for Office Work in Federal Executive Bodies.


From the above, we conclude that the approved documents must contain the requisite “Document Approval Statement,” which is drawn up in accordance with GOST R 6.30-2003, and not the inscription “Appendix No.” with the data of the administrative document. But if the application is of a reference or analytical nature (i.e., not approved), then in its upper right corner the inscription “Appendix No.” should be written indicating the relevant document, its date and registration number.




How should applications be designed?

At application design The following simple rules should be followed:

  1. Applications Always are issued on standard sheets of paper, not on letterhead documents.
  2. Since applications are not registered separately, they should not contain the details “Document Date” and “Document Registration Number”. After all, the date and registration number of the document to which the application relates can be seen in the upper right corner on the first page of the application in the inscription “Appendix...” (see Example 5) or in the details “Document approval stamp” (see Example 9).
  3. The title to the application text is printed in a centered manner; there is no period at the end of the title. The name of the application type (the first word of the application title) is highlighted in capital letters and can be printed in space (POSITION, LIST, LIST, etc.) . The line spacing between the first line of the title and subsequent lines can be increased by 6 pt.

    The title of the application is located under the inscription “Appendix...” or the attribute “Document approval stamp” and is separated from them by two to four line spacing.

  4. The margin sizes, fonts and line spacing when printing applications are identical to the sizes used when printing document texts.
  5. The application sheets are numbered independently, starting from the second sheet. Page numbers are placed in the middle of the top margin of the sheet. In this case, the number is written in Arabic numerals without punctuation (dots), without indicating the word “page” or its abbreviated versions “page.” or with." and dashes.
  6. Organizational and legal documents - instructions, rules, regulations, regulations approved by administrative documents and which are appendices to them - must be signed by the head of the structural unit who developed this appendix. Other applications, if necessary, may also be signed by an authorized official. If the application is not signed, then it is advisable to end it with a horizontal line located in the center of the text at a distance of approximately 3 line spacing. The length of the line should be several centimeters. This simple trick will protect you from adding any text to the end of the application after signing the main document (see Example 5).

General requirements for work design.

GOST 7.32-2001 “Report on scientific research work. Structure and design rules."

According to GOST 7.32-2001, the text is printed on one side of a sheet of white A4 paper at one and a half intervals. Font color – black. Font size (point size) is at least 12. Common practice is font size 14. GOST does not specify the font type, but usually Times New Roman.

Margin sizes: right - no less than 10 mm, top and bottom - no less than 20 mm, left - no less than 30 mm.

The pages of the work are numbered in Arabic numerals (numbering is continuous throughout the text). The page number is placed in the center of the bottom of the sheet without a dot. The title page is included in the general numbering; no number is placed on it.

GOST defines: surnames, names of organizations, companies, names of products and other proper names must be given in the original language. It is allowed to transliterate proper names and provide the names of organizations translated into Russian with the addition (at the first mention) of the original name.

How to format headings?

According to GOST 7.32-2001, the chapters of the main part of the work are not structural elements - such an element (along with the abstract (i.e. annotation), content, introduction, conclusion, list of sources used, appendix, etc.) is only the entire main part as a whole . According to GOST 7.32-2001, the headings of the structural elements of the work are placed in the middle of the line without a dot at the end and are printed in capital letters without underlining. Each structural element should start on a new page.

Chapters are usually numbered, although if they are considered as structural elements of the work, there are no standards in this regard. That is, you don’t have to number them.

Chapters can be divided into paragraphs, which in turn can be divided into paragraphs and subparagraphs (and smaller sections).

The paragraph number consists of the chapter and paragraph numbers within the chapter, separated by a dot. There is no period at the end of the number. Points in the paragraph are numbered in a similar way (for example: 2.4.2 Analysis of results). In principle, it is allowed to have only one paragraph in a chapter, and one paragraph in a paragraph. In this case, the paragraph and paragraph are still numbered. Headings of paragraphs, paragraphs and subparagraphs should be printed with a paragraph indentation in capital letters without a period at the end, without underlining. If the title consists of two sentences, they are separated by a period. Hyphenation of words in headings is not allowed.

GOST 7.32-2001 does not regulate the size of paragraph indentation, as well as the distance between headings, in any way, but you can rely on GOST 2.105-95 “General requirements for text documents”, according to which paragraph indentation is equal to five strokes of a typewriter (or 15-17 mm) .

The distance between the title and the text should be 3 or 4 spaces (15 mm). If an essay, coursework or diploma is printed with an interval of 1.5, this means that the distance between the title and the text is equal to one empty line. The distance between chapter and paragraph headings is 2 spaces (8 mm).

GOST 2.105-95 is focused on accompanying documents of a technical nature, but there is no more suitable standard yet.

How to format the content?

According to GOST 7.32-2001, the heading CONTENTS is written in capital letters in the middle of the line.

According to GOST 2.105-95, names included in the contents are written in lowercase letters, starting with a capital letter. GOST 7.32-2001 does not regulate this issue in any way, and since it has preference over GOST 2.105-95, then, in principle, everything remains at the discretion of the author.

How to design drawings?

According to GOST 7.32-2001, all figures in the text must be referenced. Figures should be placed immediately after the text in which they are first mentioned, or on the next page. Figures are numbered in Arabic numerals, and the numbering is continuous, but it is also possible to number within a section (chapter). In the latter case, the figure number consists of the section number and the serial number of the illustration, separated by a dot (for example: Figure 1.1). The caption for the picture is located below it in the middle of the line. The word “Drawing” is written in full. According to GOST, you can limit yourself to only the number (i.e., leave, for example, a signature: Figure 2), but universities almost always also require a name. 3 General provisions

3.1 Text documents are divided into documents containing mainly continuous text (technical specifications, passports, calculations, explanatory notes, instructions, etc.), and documents containing text divided into columns (specifications, statements, tables, etc. .P.).

Text documents are executed in paper form and (or) in the form of an electronic document (DE).

It is allowed to use word abbreviations in accordance with GOST 2.316 in text documents containing text divided into graphs.

3.2 Text documents are performed on the forms established by the relevant standards of the Unified System of Design Documentation (ESKD) and the System of Design Documentation for Construction (SPDS).

Requirements specific to certain types of text documents (for example, operational documents) are given in the relevant standards.

3.3 Original text documents are produced in one of the following ways:

- typewritten, and the requirements of GOST 13.1.002 should be met. The typewriter font must be clear, at least 2.5 mm high, the ribbon must be black only (bold);

- handwritten - drawing font in accordance with GOST 2.304 with the height of letters and numbers not less than 2.5 mm. Numbers and letters must be written clearly in black ink;

- using printing and graphic computer output devices (GOST 2.004);


3.4 Copies of text documents are made in one of the following ways:

- typographical - in accordance with the requirements for publications produced by printing;

- photocopying - it is recommended to reproduce using double-sided copying;

- photocopying;

- microfilming;

- on electronic data carriers.

3.5 Individual words, formulas, symbols (handwritten), as well as illustrations should be written in typewritten text documents using black ink, paste or ink.

3.6 The distance from the form frame to the text boundaries at the beginning and end of the lines is at least 3 mm.

The distance from the top or bottom line of text to the top or bottom frame must be at least 10 mm.

Paragraphs in the text begin with an indent equal to five strokes of a typewriter (15-17 mm).

3.7 Typos, clerical errors and graphic inaccuracies discovered during the execution of the document may be corrected by erasing or painting over with white paint and applying corrected text (graphics) in the same place by typewriting or using black ink, paste or ink in handwriting.

Damage to sheets of text documents, blots and traces of incompletely removed previous text (graphics) are not allowed.

After making corrections, the document must meet the microfilming requirements established by GOST 13.1.002.

3.8 To place approving and approving signatures on text documents, it is recommended to draw up a title page and (or) an approval sheet in accordance with Section 6 of this standard.

The mandatory requirements and features of the execution of title pages are stipulated in the ESKD and SPDS standards for the rules for the execution of relevant documents.

3.9 It is recommended to issue a change registration sheet for text documents in accordance with GOST 2.503 and GOST 21.101.

3.10 The content and requisite parts of the DE must comply with the requirements of the ESKD standard.

The structure and composition of the DE details must ensure its circulation within the framework of software (display, modification, printing, accounting and storage in databases, as well as transfer to other automated systems) while complying with regulatory requirements for the design of text documents.


4 Requirements for text documents containing mainly solid text

4.1 Document construction

4.1.1. The text of the document is, if necessary, divided into sections and subsections.

If the document is large, it is allowed to divide it into parts, and parts, if necessary, into books. Each part and book are packaged separately. All parts are given names and assigned a document designation. Starting from the second part, a serial number is added to this designation, for example: ХХХХ.331112.032Ф0, ХХХХ.331112.032Ф01, ХХХХ.331112.032Ф02, etc. All books are given a name and assigned a serial number. An example of filling out field 4 of the title page for a book is given in Appendix B.

The sheets of the document are numbered within each part, each part begins on sheets with the main inscription in accordance with GOST 2.104 form and GOST 21.101 form 3.

4.1.2. Sections must have serial numbers within the entire document (part, book), indicated in Arabic numerals without a dot and written in paragraph indentation. Subsections must be numbered within each section. The subsection number consists of the section and subsection numbers separated by a dot. There is no dot at the end of the subsection number. Sections, like subsections, can consist of one or more paragraphs.

4.1.8 Each paragraph, subparagraph and enumeration is written with a paragraph indentation.

4.1.9 Sections and subsections must have headings. As a rule, paragraphs do not have headings.

Headings should clearly and concisely reflect the content of sections and subsections.

Headings should be printed in capital letters without a period at the end, without underlining. Hyphenation of words in headings is not allowed. If the title consists of two sentences, they are separated by a period.

The distance between the title and the text when executing a document in a typewritten manner should be equal to 3, 4 intervals, when executing in handwriting - 15 mm. The distance between section and subsection headings is 2 intervals, when done in handwriting - 8 mm. When executing text documents in an automated way, it is allowed to use distances close to the specified intervals.

4.1.10 It is recommended to start each section of a text document on a new sheet (page).

4.1.11 In a document (part, book) of large volume, the contents are placed on the first (title) sheet and, if necessary, on subsequent sheets, including the numbers and names of sections and subsections indicating the numbers of sheets (pages).

If the document is divided into parts (books), then at the end of the contents of the first part (book) the designation and name (if any) of the remaining parts (books) are listed. The contents are included in the total number of sheets of a given document (part, book).

The word "Contents" is written in the form of a title (symmetrically to the text) with a capital letter. Names included in the contents are written in lowercase letters, starting with a capital letter.

4.1.12 At the end of the text document, before the sheet for registering changes, it is allowed to provide a list of literature that was used in its preparation. Execution of the list and references to it in the text - according to GOST 7.32. A list of references is included in the contents of the document.

4.1.13. The numbering of the pages of the document and the annexes included in this document must be continuous. Instead of continuous page numbering, it is allowed to use page numbering within each section of the document as follows:

4.2 Presentation of the text of documents

4.2.1 The full name of the product on the title page, in the title block and at the first mention in the text of the document must be the same as its name in the main design document.

In the following text, the word order in the title should be direct, i.e. in the first place there should be a definition (adjective), and then the name of the product (noun); In this case, it is allowed to use the abbreviated name of the product.

The names given in the text of the document and in the illustrations must be the same.

4.2.2 The text of the document should be concise, clear and not subject to different interpretations.

When setting out mandatory requirements in the text, the words “must”, “should”, “necessary”, “required that”, “only permitted”, “not allowed”, “prohibited”, “should not” should be used. When setting out other provisions, the words “may be”, “as a rule”, “if necessary”, “may”, “in case”, etc. should be used.

In this case, it is allowed to use a narrative form of presentation of the text of the document, for example, “apply”, “indicate”, etc.

The documents must use scientific and technical terms, designations and definitions established by the relevant standards, and in their absence - generally accepted in the scientific and technical literature.

If a document adopts specific terminology, then at the end of it (before the list of references) there should be a list of accepted terms with appropriate explanations. The list is included in the contents of the document.

4.2.3 The following is not allowed in the document text:

- use colloquial speech, technicalism, and professionalism;

- apply for the same concept various scientific and technical terms that are similar in meaning (synonyms), as well as foreign words and terms if there are equivalent words and terms in the Russian language;

- use arbitrary word formations;

- use abbreviations of words other than those established by the rules of Russian spelling, relevant state standards, and also in this document;

- abbreviate the designations of units of physical quantities if they are used without numbers, with the exception of units of physical quantities in the heads and sides of tables and in the decoding of letter designations included in formulas and drawings.

4.2.4 In the text of the document, with the exception of formulas, tables and figures, the following is not allowed:

- use the mathematical minus sign (-) before negative values ​​​​of quantities (the word “minus” should be written);

- use the sign “” to indicate diameter (the word “diameter” should be written). When indicating the size or maximum diameter deviations in the drawings placed in the text of the document, the sign “” should be written before the size number;

- use mathematical signs without numerical values, for example > (greater than),< (меньше), = (равно), (больше или равно), (меньше или равно), (не равно), а также знаки N (номер), % (процент);

- use indexes of standards, technical specifications and other documents without a registration number.

4.2.5 If the document contains explanatory notes applied directly to the manufactured product (for example, on strips, plates for control elements, etc.), they are highlighted in a font (without quotes), for example, ON, OFF, or in quotation marks - if the inscription consists of numbers and (or) signs.

Names of commands, modes, signals, etc. in the text should be highlighted in quotation marks, for example, “Signal + 27 on.”

4.2.6 The list of permitted word abbreviations is established in GOST 2.316.

If a document adopts a special system for abbreviating words or names, then it must contain a list of accepted abbreviations, which is placed at the end of the document before the list of terms.

4.2.7 Symbols, images or signs must comply with those adopted in current legislation and state standards. In the text of the document, before designating the parameter, an explanation is given, for example, “Temporary tensile strength.”

If it is necessary to use symbols, images or signs that are not established by current standards, they should be explained in the text or in the list of symbols.

4.2.8 The document should use standardized units of physical quantities, their names and designations in accordance with GOST 8.417.

Along with SI units, if necessary, units of previously used systems approved for use are indicated in parentheses. The use of different systems for designating physical quantities in one document is not allowed.

4.2.9 In the text of the document, numerical values ​​of quantities with the designation of units of physical quantities and units of counting should be written in numbers, and numbers without designation of units of physical quantities and units of counting from one to nine - in words.

4.2.10 The unit of physical quantity of the same parameter within one document must be constant. If the text contains a series of numerical values ​​expressed in the same unit of physical quantity, then it is indicated only after the last numerical value, for example 1.50; 1.75; 2.00 m.

4.2.11 If the text of a document provides a range of numerical values ​​of a physical quantity expressed in the same unit of a physical quantity, then the designation of the unit of the physical quantity is indicated after the last numerical value of the range.

3 From plus 10 to minus 40 °C.

It is unacceptable to separate a unit of physical quantity from a numerical value (transfer them to different lines or pages), except for units of physical quantities placed in typewritten tables.

4.2.12 When citing the largest or smallest values ​​of quantities, the phrase “should be no more (no less)” should be used.

When citing permissible values ​​of deviations from the specified norms and requirements, the phrase “should not be more (less)” should be used.

For example, the mass fraction of sodium carbonate in technical soda ash must be at least 99.4%.

4.2.13 Numerical values ​​of quantities in the text should be indicated with the degree of accuracy necessary to ensure the required properties of the product, while in a series of quantities the number of decimal places is equalized.

Rounding numerical values ​​of quantities to the first, second, third, etc. decimal place for various sizes, brands, etc. products of the same name must be identical. For example, if the thickness gradation of a hot-rolled steel strip is 0.25 mm, then the entire range of strip thicknesses must be indicated with the same number of decimal places, for example 1.50; 1.75; 2.00.

4.2.14 Fractional numbers must be given as decimals, with the exception of sizes in inches, which should be written ; (but not , ).

If it is impossible to express a numerical value as a decimal fraction, it is allowed to write it as a simple fraction on one line separated by a slash, for example 5/32; (50A-4C)/(40V+20).

4.2.15 In formulas, the designations established by the relevant state standards should be used as symbols. Explanations of symbols and numerical coefficients included in the formula, if they are not explained earlier in the text, should be given directly below the formula. Explanations for each symbol should be given on a new line in the sequence in which the symbols are given in the formula. The first line of the explanation should begin with the word “where” without a colon after it.

Formulas that follow one after another and are not separated by text are separated by a comma.

4.2.16 It is allowed to transfer formulas to the next line only on the signs of the operations being performed, and the sign at the beginning of the next line is repeated. When translating a formula at the multiplication sign, use the "".

4.2.17 In documents published non-typographically, formulas can be typewritten, machine-written or in drawing font with a height of at least 2.5 mm. The use of typewritten and handwritten symbols in the same formula is not allowed.

4.2.18 Formulas, with the exception of formulas placed in the appendix, must be numbered consecutively in Arabic numerals, which are written at the formula level on the right in parentheses. One formula is designated - (1).

References in the text to serial numbers of formulas are given in parentheses, for example... in formula (1).

Formulas placed in appendices must be numbered separately in Arabic numerals within each appendix with the appendix designation added before each digit, for example formula (B.1).

Numbering of formulas within a section is allowed. In this case, the formula number consists of the section number and the serial number of the formula, separated by a dot, for example (3.1).

4.2.19 The order of presentation of mathematical equations in documents is the same as that of formulas.

4.2.20 Notes are provided in documents if explanations or reference data are needed for the content of text, tables or graphic material.

Notes should not contain requirements.

4.2.21 Notes should be placed immediately after the text, graphic material or table to which these notes relate, and should be printed in capital letters from the paragraph. If there is only one note, then a dash is placed after the word “Note” and the note is also printed in capital letters. One note is not numbered. Several notes are numbered in order using Arabic numerals. A table note is placed at the end of the table above the line indicating the end of the table.

4.2.22 In a text document, references to this document, standards, technical specifications and other documents are allowed, provided that they fully and unambiguously define the relevant requirements and do not cause difficulties in using the document.

References to enterprise standards (STP) and other technical documentation must be specified in the product development agreement.

Reference should be made to the document as a whole or to its sections and appendices. References to subsections, paragraphs, tables and illustrations are not allowed, with the exception of subsections, paragraphs, tables and illustrations of this document.

When referring to standards and technical specifications, only their designation is indicated, while it is possible not to indicate the year of their approval, provided that the designation with the year of approval is recorded at the end of the text document under the heading "REFERENCED REGULATIVE DOCUMENTS" in the form:

4.3 Design of illustrations and applications

4.3.1 The number of illustrations should be sufficient to explain the text presented. Illustrations can be located both throughout the text of the document (possibly closer to the relevant parts of the text) and at the end of it. Illustrations must be made in accordance with the requirements of ESKD and SPDS standards. Illustrations, with the exception of illustrations of applications, should be numbered consecutively in Arabic numerals. If there is only one drawing, then it is designated “Figure 1”.

Illustrations of each application are designated by separate numbering in Arabic numerals with the addition of the application designation before the number. For example - Figure A.3.

It is allowed not to number small illustrations (small drawings) placed directly in the text and to which there are no further references.

It is allowed to number illustrations within a section. In this case, the illustration number consists of the section number and the serial number of the illustration, separated by a dot. For example - Figure 1.1.

When referring to illustrations, you should write “... in accordance with Figure 2” for continuous numbering and “... in accordance with Figure 1.2” for numbering within a section.

Illustrations, if necessary, may have a name and explanatory data (text below the figure). The word “Figure” and the name are placed after the explanatory data and arranged as follows: Figure 1 - Device details.

4.3.2 If the text of the document contains an illustration showing the component parts of the product, then this illustration must indicate the position numbers of these components within this illustration, which are arranged in ascending order, with the exception of repeating positions, and for electrical and radioelements - positional designations established in the circuit diagrams of this product.

The exception is electrical and radio elements, which are adjustment or adjustment bodies, for which (in addition to the position number) the purpose of each adjustment and setting, position designation and inscriptions on the corresponding strip or panel are additionally indicated in the text below.

It is allowed, if necessary, to save the number assigned to the component part of the product in the illustration within the document.

For layout diagrams of structural elements and architectural and construction drawings of buildings (structures), the brands of elements are indicated.

When referring in the text to individual elements of parts (holes, grooves, grooves, shoulders, etc.), they are designated in capital letters of the Russian alphabet.

The specified data is shown in illustrations in accordance with GOST 2.109.

4.3.3 On the electrical diagrams given in the document, next to each element, its position designation, established by the relevant standards, and, if necessary, the nominal value of the quantity are indicated.

4.3.4 Material supplementing the text of the document may be placed in appendices. Applications can be, for example, graphic material, large format tables, calculations, descriptions of equipment and instruments, descriptions of algorithms and programs for problems solved on a computer, etc.

The application is drawn up as a continuation of this document on its subsequent sheets or issued as a separate document.

4.3.5 Applications can be mandatory and informational.

Informational applications may be of a recommended or reference nature.

4.3.6 In the text of the document, links to all applications must be given. The degree of obligation of applications is not indicated in references. Appendices are arranged in the order of references to them in the text of the document, with the exception of the information appendix “Bibliography”, which is placed last.

4.3.7 Each appendix should start on a new page with the word “Appendix” and its designation indicated at the top in the middle of the page, and below it in parentheses the word “mandatory” is written for a mandatory appendix, and “recommended” or “reference” for an informational appendix.

The application must have a title, which is written symmetrically relative to the text with a capital letter on a separate line.

4.3.8 Applications are designated in capital letters of the Russian alphabet, starting with A, with the exception of the letters E, Z, Y, O, CH, L, Y, Ъ. The word "Application" is followed by a letter indicating its sequence.

It is allowed to designate applications using letters of the Latin alphabet, with the exception of the letters I and O.

In the case of full use of the letters of the Russian and Latin alphabets, it is allowed to designate applications with Arabic numerals.

If a document has one appendix, it is designated "Appendix A".

4.3.9 Applications are usually made on A4 sheets. It is allowed to draw up applications on sheets of A3, A43, A44, A2 and A1 formats in accordance with GOST 2.301.

4.3.10 The text of each application, if necessary, can be divided into sections, subsections, paragraphs, subparagraphs, which are numbered within each application. The number is preceded by the designation of this application.

Attachments must have continuous page numbering in common with the rest of the document.

4.3.11 All annexes must be listed in the contents of the document (if any) indicating their numbers and headings.

4.3.12 Applications issued in the form of an independent document are drawn up according to the general rules - the first sheet with the main inscription in form 2, subsequent sheets - in form 2a in accordance with GOST 2.104, GOST 21.101.

If necessary, such an application can have "Contents".

4.3.13 Appendices or books issued as an independent document are designated as parts of the document, indicating their serial number in the document code. If an application or book has a title page, then under the title of the document the word “Appendix” and its designation in the case of two or more applications, for example “Appendix B” or “Book” and its serial number, for example “Book 6” are indicated.

4.3.14* It is allowed to use other independently issued design documents (dimensional drawings, diagrams, etc.) as an appendix to the document.

The document, including the document to which appendices are issued, is compiled into an album with an inventory of the album compiled for it. The inventory is assigned the designation of the product for which the main document was developed and the OP code.

The inventory is compiled according to form 8 and 8a GOST 2.106. The first to be written into it is a document for which other design documents are used as an appendix. Next, the documents are recorded in the order in which they are compiled into the album. If necessary, a title page is prepared for the album of documents.

4.4 Building tables

4.4.1 Tables are used for better clarity and ease of comparison of indicators. The title of the table, if available, should reflect its content, be accurate, and concise. The title should be placed above the table.

When transferring part of a table to the same or other pages, the title is placed only above the first part of the table.

Digital material is usually presented in the form of tables in accordance with Figure 1.

4.4.2 Tables, with the exception of appendix tables, should be numbered with Arabic numerals and continuous numbering.

The tables of each application are designated by separate numbering in Arabic numerals with the addition of the application designation before the number. If there is one table in the document, it should be designated “Table 1” or “Table B.1” if it is given in Appendix B.

It is allowed to number tables within a section. In this case, the table number consists of the section number and the table sequence number, separated by a dot.

4.4.3 All tables in the document must be referenced in the text of the document; when referring, the word “table” should be written indicating its number.

4.4.4 Headings of columns and table rows should be written with a capital letter, and column subheadings with a lowercase letter if they form one sentence with the heading, or with a capital letter if they have an independent meaning. There are no periods at the end of headings and subheadings of tables. Headings and subheadings of columns are indicated in the singular.

4.4.5 Tables on the left, right and bottom are usually limited by lines.

Dividing the headings and subheadings of the sidebar and column with diagonal lines is not allowed.

Horizontal and vertical lines delimiting the rows of the table may not be drawn if their absence does not make it difficult to use the table.

Column headers are usually written parallel to the table rows. If necessary, perpendicular arrangement of column headings is allowed.

The head of the table should be separated by a line from the rest of the table.

The height of the table rows must be at least 8 mm.

4.4.6 The table, depending on its size, is placed under the text in which a link to it is first given, or on the next page, and, if necessary, in an appendix to the document.

It is allowed to place the table along the long side of the document sheet.

4.4.7 If the rows or columns of the table go beyond the page format, it is divided into parts, placing one part under the other or next to it, and in each part of the table its head and side are repeated. When dividing a table into parts, it is allowed to replace its head or side with the number of columns and rows, respectively. In this case, the columns and (or) rows of the first part of the table are numbered with Arabic numerals.

The word “Table” is indicated once on the left above the first part of the table, above the other parts the words “Continuation of the table” are written indicating the number (designation) of the table in accordance with Figure 2. When preparing text documents using software, the inscription “Continuation of the table” is not allowed indicate.

If the table is interrupted at the end of the page and its continuation will be on the next page, in the first part of the table the lower horizontal line limiting the table may not be drawn.

Tables with a small number of columns can be divided into parts and placed one part next to the other on one page, while repeating the table head in accordance with Figure 3. It is recommended to separate parts of the table with a double line or a line with a thickness of 2.

4.4.8 The column “Sequence number” is not allowed to be included in the table. Numbering the columns of the table in Arabic numerals is allowed in cases where there are references to them in the text of the document, when dividing the table into parts, as well as when moving part of the table to the next page in accordance with Figure 4.

4.4.9 If all the indicators given in the columns of the table are expressed in the same unit of physical quantity, then its designation must be placed above the table on the right, and when dividing the table into parts - above each part in accordance with Figure 2.

If most of the columns of the table contain indicators expressed in the same units of physical quantities (for example, in millimeters, volts), but there are columns with indicators expressed in other units of physical quantities, then the name of the predominant indicator and its designation should be written above the table physical quantity, for example “Dimensions in millimeters”, “Voltage in volts”, and in the subheadings of the remaining columns give the name of the indicators and (or) designations of other units of physical quantities in accordance with Figure 4.

To shorten the text of headings and subheadings, individual concepts are replaced by letter symbols established by GOST 2.321, or other symbols if they are explained in the text or shown in illustrations, for example - diameter, - height, - length.

Indicators with the same letter designation are grouped sequentially in ascending order of indices in accordance with Figure 4.

4.4.10 Restrictive words “more”, “no more”, “less”, “not less”, etc. must be placed in one line or column of the table with the name of the corresponding indicator after the designation of its unit of physical quantity, if they apply to the entire line or column. In this case, after the name of the indicator, a comma is placed before the restrictive words in accordance with Figures 4 and 5.

4.4.11 The designation of a unit of physical quantity common to all data in a line should be indicated after its name in accordance with Figure 5. If necessary, it is allowed to place the designation of a unit of physical quantity in a separate line (column).

4.4.12 If a table column contains values ​​of the same physical quantity, then the designation of the unit of physical quantity is indicated in the heading (subtitle) of this column in accordance with Figure 6. Numerical values ​​of quantities that are the same for several lines may be indicated once in accordance with figures 4 and 6.

The designations given in the column headings of the table must be explained in the text or graphic material of the document.

4.4.13 Designations of plane angle units should be indicated not in the column headings, but in each row of the table, both in the presence of horizontal lines dividing the lines in accordance with Figure 7, and in the absence of horizontal lines in accordance with Figure 8.

4.5.2 The footnote sign is placed immediately after the word, number, symbol, sentence to which an explanation is given, and before the text of the explanation.

5 Requirements for text documents containing text divided into graphs

5.1 Text documents containing text divided into columns, if necessary, are divided into sections and subsections that are not numbered.

5.2 The names of sections and subsections are written as headings in lowercase letters (except for the first capital) and underlined.

The location of headings for statements is established by the relevant ESKD and SPDS standards.

Below each heading there should be one free line, above - at least one free line.

5.3 Notes to sections, subsections or the entire document are numbered in accordance with 4.2.21.

5.4 In text documents in paper form that have lines, all entries are made on each line in one row.

To make changes easier:

- keep a record at the bottom of the line field. Records should not merge with the lines demarcating rows and columns;

- leave free lines between sections and subsections, and in large documents - also inside sections and subsections.

When drawing up documents for prototypes, additionally provide free lines for recording documents and other data that can be entered into the documentation.

5.5 If several lines of text are written in a document column, then in subsequent columns entries begin at the level of the first line. If in subsequent columns the entry is placed on one line, then with the typewritten method it can be placed at the level of the last line.

5.6 For electronic documents when outputting to paper or a display device using software, deviations are allowed in the form of tables (frame sizes, graphs, etc.) and text placement (field sizes, spacing, etc.) subject to These are the requirements for the design of text documents.

6 Requirements for the design of the title page and approval sheet

6.1 The title page is the first page of the document. The title page compiled for an album of documents is the first sheet of the inventory of this album.

6.2 An approval sheet (AL) is issued for documents on which, according to the terms of their use, the developer and (or) customer considers it inappropriate to provide the names of organizations, positions and names of persons who signed these documents.

6.3 LUs are issued for one document, for several documents, for an album of documents or a set of documents. It is allowed to issue LU for a separate part or several parts of the document.

6.4 The LU designation consists of the designation of the document to which it relates, with the addition of the LU code separated by a hyphen, for example ХХХХ.ХХХХХХ.ХХХТУ- its.

6.5 If the LU is issued in an album of documents, it is assigned the designation of one of these documents with the LU code added through a hyphen and is recorded first in the inventory of the album.

6.6 If a LU is issued for several documents, it is assigned the designation of one of these documents with the LU code added through a hyphen and recorded in the specification that includes this document.

6.7 If a LU is issued for a set of documents, it is assigned a specification designation with the addition of a LU code and is recorded first in the specification in the “Documentation” section.

6.8 When recording LU in the specification, it should be indicated in the “Note” column - “Reproduce as directed”.

1 LU is multiplied and distributed if necessary. The need to distribute copies of the LU is determined by the holder of the original LU in agreement with the customer.

6.9 The title page and LU are made on A4 sheets in accordance with GOST 2.301 in the form shown in Figure 21:

field 1 - name of the department whose system includes the organization that developed this document. Filling out the field is optional;

field 2 - on the left side - code according to the product classifier, on the right side - special marks. Filled out only for the title page;

field 3 - on the left side - the approval stamp, on the right side - the approval stamp, carried out in accordance with GOST 6.38, if necessary;

field 4 - name of the product (in capital letters) and the document for which the title page or LU is drawn up. If the title page is drawn up for documents divided into parts, indicate the part number and its name. For a document album, indicate the album number and the total number of albums, for example:

field 8 - for the title page: signatures of the document developers, carried out in accordance with GOST 6.38. If the document is subject to approval by several officials, then in addition to the signatures indicated in field 3, the remaining signatures are located on the left side of field 8.

The signatures indicated in the title block of the title page should not be repeated on the title page and approval sheet.

For LU: on the left - the approval stamp (if necessary), on the right - the signatures of the developers and the normative inspector in accordance with GOST 6.38 in the manner established at the development enterprise.

If there are a large number of signatures, field 8 is increased by issuing a second sheet. At the same time, in the upper right corner of it they indicate: for the title page - “Continuation of the title page”, for LU - “Continuation of the approval sheet” and then the name and designation of the document. In this case, at the end of the first sheet indicate: “Continuation on the next sheet”;

field 9 - columns 19-23 according to GOST 2.104, placed on the field for filing. It is allowed to place field 9 on field 10 according to GOST 2.004;

field 10 - columns 14-18 according to GOST 2.104 (dimensions can be set arbitrarily; lines separating columns and lines are not drawn; the names of the columns are not indicated). The field is filled in lines from bottom to top. The field is filled in only for LU.

6.10 If a LU is issued for several documents, in field 8 below the signatures indicate the designation of the documents to which this LU applies.

6.11 When one or more documents are approved by an approval sheet, the following inscription is made on the title page in the upper left corner for text documents or above the main inscription for graphic documents:

6.12 Changes to the LU are made in accordance with GOST 2.503 and are reflected in additional columns in accordance with GOST 2.104 or GOST 2.004.

7 Requirements for document preparation for two-sided copying

7.1 For double-sided copying, document sheets are doubled with a fold line in the middle. The main inscription is given on both halves of each sheet (Figure 22), with the exception of additional columns, which are placed only on the odd-numbered page.

7.2 In the main inscriptions, the name of the column “Sheet” is changed to “S.”, and the name of “Sheets” (on title pages) to “Pages”.

7.3 Separate sheets of the document (for example, the title page or sheets with attachments of graphic content) are published without filling out the reverse side of the copy; on such sheets odd page numbers are indicated, and the corresponding even page numbers are not indicated, but are included in the total number of pages of the document.

7.4 For documents made by double-sided copying, the format and number of sheets are indicated as follows:

- the format is written as a fraction, where the numerator indicates the format of the double sheets of the document, and the denominator indicates the format of the copies, for example A3/A4;

- the number of sheets is also written as a fraction: in the numerator - the number of double sheets of the document, and in the denominator - the number of pages, for example 45/p.90.

The quality of the diploma applications plays a huge role. Properly designed thesis appendices summarize your work and make it more understandable. The thesis annex includes:

  • drawings,
  • tables,
  • graphic visual materials.

However, many students constantly have problems with how to format the diploma supplement correctly. Let's figure it out.

Registration of applications in the diploma

Applications are the last and completely independent section of the thesis. They include not only drawings and graphic objects, but also texts and any important additional information that you consider necessary to include in the project. This information is a natural extension of the diploma.

Before completing the application in your diploma, remember: the numbering among different applications will not be digital, but alphabetic. For numbering, capital letters of the Russian alphabet are used (A, B, V, etc.).

When designing applications, you should not use the letters ъ, ь, ё, й and the like.

According to GOST, each application of the thesis corresponds to a specific link within the text of the work. Each link must match the number of the corresponding application, that is, the numbering must be clear and consistent.

The committee or teacher should not have questions about which application comes first, second, etc. In this case, the application section is always headed by the one to which the work refers first.

Requirements for completing diploma supplements

There are certain standards that must be followed when creating diploma supplements. Here are the main ones:

  1. Every new application starts with a blank page. At the top in the center is written the heading “APPENDIX” with the serial number assigned to it, corresponding to the link in the text of the work. Below it is the title of the table, figure or other graphic object (starts with a capital letter with a separate line in the center).
  2. The numbering of applications can be in the Russian alphabet (except o, ё, й, з, ь, ь, ъ, ы) or the Latin alphabet (except for the letters I, O). If the number of applications exceeds the number of letters of one of the alphabets, Arabic numerals can be used. If only one supplement is attached to the diploma, it is designated by the capital letter A.
  3. Application page numbering must be continuous. Numbering starts from the first digit from the first page of the application.

Where and how to submit the diploma supplement?

The student can place applications as a supplement to the thesis project. Then this part of the work is placed at the very end of the work. But if the volume of the application is quite large, you can provide it separately from the thesis or put the diploma inside the applications.

If the application is provided separately, the numbering will be normal - from the first page. In this case, the folder with applications must also have its own title page, which should be designed by analogy with the title page of the diploma (except for the name of the topic of the diploma).

Individual applications must be accompanied by their own bibliographic list of references. The difference from the same part of the diploma is that the page is not indicated in the list of references used in the appendix.
